Booking & Cancellation Policy

This Booking & Cancellation Policy ("Policy") governs booking requests, confirmations, modifications, cancellations, rescheduling, refunds, no-shows and related transactions made through ZaZang.

This Policy applies to Clients and independent entertainment, creative and event-service providers ("Talent") using the ZaZang platform. This Policy should be read together with the ZaZang Terms of Service, Talent Terms, Client Terms and Privacy Policy.

1. ZaZang's role

ZaZang operates a technology marketplace that enables Clients to discover, communicate with and book independent entertainment, creative and event-service providers.

Unless expressly identified otherwise, the Talent identified in a booking—not ZaZang—is the provider responsible for performing the booked services. ZaZang is not a booking agent.

ZaZang facilitates the booking process, platform communications, payment functionality and related platform support as described in ZaZang's Terms and the applicable booking record.

2. Booking requests

Submitting a booking request does not by itself create a confirmed booking.

A Client booking request should contain, where applicable:

  • Talent requested
  • Event or project type
  • Event date
  • Start time
  • End time or duration
  • Venue/location
  • Requested services
  • Requested capabilities
  • Requested equipment
  • Deliverables
  • Special instructions
  • Travel requirements
  • Pricing
  • ZaZang fees
  • Applicable taxes
  • Deposit/payment requirements

Clients are responsible for providing accurate information when submitting a booking request.

Talent should review all booking details before accepting the request.

3. Talent acceptance

Talent may accept or decline booking requests. Talent has 48 hours to answer a quote request; an unanswered request expires.

Before accepting a booking, Talent should verify that they can reasonably provide the requested:

  • Date and time
  • Location
  • Services
  • Equipment
  • Capabilities
  • Deliverables
  • Performance duration
  • Travel requirements
  • Other material booking requirements

Talent acceptance represents a commitment to provide the services described in the accepted booking, subject to payment and confirmation requirements.

Talent should not accept a booking they know they cannot reasonably fulfill.

4. When a booking becomes confirmed

A booking becomes CONFIRMED only after:

  1. Talent accepts the booking request (the Talent’s final confirmation); AND
  2. Client pays the 50% booking retainer through ZaZang.

Until both conditions occur, the booking remains pending, and ZaZang does not represent a pending booking as confirmed or booked.

Once confirmed, ZaZang provides both Client and Talent with a booking confirmation containing the material terms of the agreement.

5. Booking record

The confirmed booking record should include:

  • Booking ID
  • Client
  • Talent
  • Event/project
  • Date
  • Start/end time
  • Venue/location
  • Services
  • Equipment
  • Deliverables
  • Special requirements
  • Talent/service price
  • ZaZang fees
  • Taxes
  • Amount paid
  • Remaining balance
  • Balance due date
  • Applicable cancellation terms

The confirmed booking record represents the agreed scope of the transaction unless subsequently modified and accepted by both parties.

6. Payment and retainer

Before payment, the Client is shown:

  • Talent/Service Price
  • ZaZang Booking/Platform Fee
  • Applicable Taxes
  • Amount Due Today
  • Remaining Balance
  • Balance Due Date
  • Cancellation/Refund Terms

The payment schedule is:

  • ZaZang booking fee (Client): $29.99 for 1 to 3 performers booked, $39.98 for 4, $49.97 for 5, charged to the Client’s card on file when the 48-hour cancellation window closes.
  • ZaZang booking fee (Talent): $19.99 plus 3% processing ($20.59) per booked performer, charged when the window closes to the Talent’s card on file or deducted once from the Talent’s payout.
  • Standard retainer: 50% of the Talent’s agreed rate, invoiced after both parties sign the booking contract.
  • Final balance: the remaining 50%, due 48 hours before the event.

Retainer and final payments are held by ZaZang’s payment processor until they are released to the Talent when the Client confirms completion, or 24 hours after the event ends, unless a problem report or payment dispute places them on hold.

7. Client cancellation

A Client may withdraw a request before the rate is confirmed, and may cancel through the ZaZang booking-management system during the 48-hour cancellation window. After the window closes, cancellation is requested through ZaZang support (see section 8).

The Client is shown the financial consequences of cancellation before confirming it.

The cancellation becomes effective when submitted through ZaZang and recorded by the platform.

8. Cancellation framework

ZaZang uses one standard cancellation rule for every booking rather than allowing each Talent provider to create different rules. There are no tiered refund percentages.

  • Before the rate is confirmed: the Client may withdraw a request and Talent may decline one, free of charge. Nothing has been charged.
  • During the 48-hour cancellation window, which opens when the Talent gives final confirmation of the agreed rate: either party may cancel free of charge from the booking page. Nothing is charged.
  • After the window closes: there is no self-serve cancellation. A Client or Talent who needs to cancel contacts ZaZang support. ZaZang staff review each cancellation and refund request case by case, and decide what is refunded to the Client and what is paid to the Talent from the amounts held, based on the booking record, the reason and the circumstances.
  • ZaZang booking fees and the processing portion of the Talent fee: not refunded, except where ZaZang staff decide otherwise, for example when the performer caused the confirmed booking to fail.

9. Cancellation display

During the cancellation window, the cancel screen shows that nothing has been charged and that cancelling ends the booking for both parties.

After the window, ZaZang support tells the parties the outcome of the staff review before a refund is issued, including, where applicable:

  • Total Booking
  • Amount Already Paid
  • Refund to Client
  • Amount Retained
  • Additional Amount Due, if applicable

10. Talent cancellation

Talent cancellation of a confirmed booking is treated differently from Client cancellation.

Talent should only cancel when they cannot reasonably fulfill the booking.

Talent must provide a reason through ZaZang. Examples may include:

  • Illness
  • Emergency
  • Accident
  • Transportation emergency
  • Equipment failure that cannot reasonably be resolved
  • Severe weather
  • Unsafe event conditions
  • Force majeure event
  • Other documented circumstance

Talent cancellation should immediately notify the Client and ZaZang.

11. Client refund after Talent cancellation

If Talent cancels a confirmed booking and no acceptable replacement arrangement is agreed to by the Client, the Client should receive a refund of amounts collected for services that will not be performed, subject to payment-processor timing and applicable law.

Because the Talent—not the Client—caused the confirmed booking to fail, ZaZang staff may also return the Client’s ZaZang booking fee. A Talent booking fee that has not been collected when a booking is cancelled with nothing paid out is waived.

12. Talent cancellation account consequences

ZaZang may maintain a Talent cancellation history.

Repeated avoidable cancellations may result in:

  • Warning
  • Reduced account privileges
  • Temporary suspension
  • Removal from ZaZang

ZaZang distinguishes legitimate emergencies from repeated unreliable behavior.

A single documented emergency is not automatically treated the same as repeated avoidable cancellations.

13. Replacement Talent

When Talent cancels, ZaZang may provide technology or support to help the Client identify available replacement Talent. However, ZaZang does not guarantee that replacement Talent will be available.

If replacement Talent is selected, the Client should see and accept:

  • Replacement Talent
  • New price
  • Services
  • Equipment
  • Date/time
  • Other changed terms

before the replacement booking becomes confirmed.

14. Client rescheduling

A Client may request a change to:

  • Date
  • Time
  • Location
  • Duration
  • Services
  • Equipment
  • Deliverables

A rescheduling request does not automatically modify a confirmed booking.

Talent must accept material changes.

Until accepted, the original booking remains in effect.

15. Talent accepts reschedule

If Talent accepts the requested change, the change is recorded as an updated booking version. Any price change must be clearly shown to the Client. Both parties should receive the updated booking confirmation.

16. Talent cannot accept reschedule

If Talent cannot accommodate the requested Client change, the original booking remains valid unless canceled.

If the Client then chooses to cancel, the applicable Client cancellation policy normally applies. This prevents rescheduling from becoming a method of avoiding cancellation terms.

17. Talent requests reschedule

If Talent requests a material schedule change, the Client must approve it.

The Client is not required to accept a Talent-requested date or time change.

If Talent cannot perform the originally confirmed booking and the Client does not accept the proposed change, the situation should generally be treated as a Talent cancellation.

18. Client no-show or failure to provide access

A Client no-show may include situations where:

  • Venue cannot be accessed
  • Client does not arrive
  • Talent cannot reasonably enter the event
  • Required contact person cannot be reached
  • Event is canceled without notice
  • Client prevents performance of the booked services

Talent should make reasonable documented efforts to contact the Client through ZaZang.

Talent should record:

  • Arrival time
  • Attempts to contact Client
  • Relevant photographs where appropriate
  • Venue/access information
  • Departure time

After the required waiting period and reasonable contact attempts, the booking may be treated as a Client no-show. ZaZang staff review the outcome case by case.

19. Talent no-show

A Talent no-show occurs when Talent fails to appear for a confirmed booking without an accepted cancellation or other approved circumstance.

The Client should report it with Report a problem on the booking, instead of confirming completion. This pauses the automatic payout release while ZaZang reviews the report.

ZaZang may request:

  • Client statement
  • Messages
  • Venue information
  • Time records
  • Photographs
  • Other relevant evidence

If ZaZang determines that the Talent failed to provide the booked services, the Client should receive the applicable refund for undelivered services.

Repeated Talent no-shows may result in account suspension or removal.

20. Late arrival

Talent should arrive with sufficient time to perform according to the confirmed booking.

If Talent arrives late but provides substantially all contracted services, ZaZang may evaluate any dispute based upon the actual circumstances.

If late arrival materially reduces the booked service, the Client may report the issue.

ZaZang may consider:

  • Length of delay
  • Reason for delay
  • Communication
  • Service actually delivered
  • Client/event impact
  • Whether additional time was provided

Any refund or credit should reflect the specific circumstances and applicable policy.

21. Event runs late

Talent is obligated only for the confirmed booking period unless Talent agrees to extend services. A Client may request additional time. Talent may accept, decline, or quote an additional amount.

Additional paid time should be documented through ZaZang where the platform supports it.

22. Weather

Outdoor events present additional risk.

Clients are responsible for providing reasonably safe operating conditions appropriate for the booked service.

For electrical/audio/video or other sensitive equipment, Talent may decline to expose equipment or individuals to materially unsafe conditions. Examples include:

  • Lightning
  • Heavy rain
  • Flooding
  • Dangerous wind
  • Extreme weather
  • Unsafe electrical conditions

Talent should notify the Client through ZaZang as soon as reasonably possible.

23. Force majeure and events outside reasonable control

Circumstances may occur that prevent either party from reasonably fulfilling a booking. Examples may include:

  • Natural disaster
  • Hurricane
  • Government evacuation/order
  • Major transportation shutdown
  • Venue closure outside the parties’ control
  • Serious emergency
  • Other extraordinary events beyond reasonable control

The parties should first attempt to reschedule when practical.

If rescheduling cannot reasonably occur, ZaZang staff review amounts paid for services not performed case by case under applicable law. Placeholder: [Force majeure refund rules — to be set by ZaZang LLC and reviewed by counsel]

24. Unsafe conditions

Talent should not be required to perform under materially unsafe conditions. Examples may include:

  • Violence
  • Threats
  • Dangerous electrical setup
  • Unsafe stage
  • Severe weather exposure
  • Illegal activity materially affecting performance
  • Dangerous crowd conditions
  • Harassment

Talent should notify ZaZang and the Client as soon as reasonably possible.

ZaZang may review the circumstances before determining whether the event constitutes a Talent cancellation, Client-caused failure, safety termination or other category.

25. Equipment failure

Talent is responsible for maintaining equipment they specifically agree to provide.

A material equipment failure should be communicated promptly. Talent should make reasonable efforts to:

  • Repair
  • Replace
  • Substitute equivalent equipment
  • Provide an alternative solution

If equipment failure materially prevents delivery of the booked service, the Client may report the issue through ZaZang.

Any refund or adjustment should consider the portion of services actually provided.

26. Client-requested equipment

Equipment or capabilities displayed on a Talent profile are not automatically included in every booking.

Only equipment specifically incorporated into the confirmed booking should be considered part of that booking.

Clients should therefore confirm equipment requirements before payment.

27. Photography and video deliverables

For photography and videography bookings, delivery of the service may continue after the event itself. The confirmed booking should identify:

  • Coverage duration
  • Editing
  • Number/type of deliverables
  • Delivery timeframe
  • Gallery/file format
  • Raw-file treatment
  • Usage rights where applicable

Failure to deliver agreed post-event materials may be reported as a service issue even though Talent attended the event.

28. Disputes

Clients and Talent should first use ZaZang messaging and support tools to document a booking problem.

A Client may submit a problem through Report a problem on the booking, and either party may contact ZaZang support. ZaZang may request information from both parties.

ZaZang may consider:

  • Confirmed booking terms
  • Platform messages
  • Payment records
  • Arrival records
  • Photographs/videos
  • Venue information
  • Deliverables
  • Other relevant documentation

ZaZang may administer funds within its control according to its published policies, processor rules and applicable law.

ZaZang cannot guarantee recovery of funds that are no longer within its control.

29. Chargebacks

A Client's lawful rights with their card issuer are not eliminated by this Policy.

If a chargeback occurs, ZaZang may temporarily restrict relevant account activity while the transaction is investigated, and the related payout is held while the dispute is open.

ZaZang may provide the payment processor with relevant booking records, acceptance records, communications and transaction documentation.

Fraudulent or abusive chargeback activity may result in account restrictions consistent with applicable law and ZaZang's Terms.

30. Refund processing

Approved refunds are returned to the original payment method when practical and required by processor rules.

ZaZang will initiate approved refunds promptly. The time required for the refund to appear in your account may depend on your financial institution and payment provider.

31. ZaZang fees

ZaZang's fees are disclosed before Client payment and before Talent acceptance, as applicable.

  • Cancelled before the rate is confirmed or during the 48-hour window: no ZaZang fee is charged.
  • Cancelled after the window: the ZaZang booking fee and the processing portion of the Talent fee are not refunded, except where ZaZang staff decide otherwise after reviewing the circumstances, for example when the performer caused the failure.
  • A Talent booking fee not yet collected when a booking is cancelled with nothing paid out is waived.

32. Policy abuse

ZaZang may investigate patterns indicating abuse of its cancellation, refund or dispute system. Examples include:

  • Repeated fraudulent booking requests
  • False no-show claims
  • False service claims
  • Repeated avoidable Talent cancellations
  • Payment fraud
  • Chargeback abuse
  • Manipulation of cancellation timing
  • Falsified evidence

Appropriate account action may be taken under ZaZang's Terms and applicable law.

33. Policy changes

ZaZang may update this Booking & Cancellation Policy as the platform develops. Each version shows its version number and effective date at the top of this page.

Material changes are communicated to affected users as required.

Confirmed bookings generally remain associated with the policy version accepted when the booking was made unless applicable law or an agreed modification requires otherwise.

34. Cancellation records

For every cancellation, ZaZang keeps a record that may include:

  • Booking ID
  • Client and Talent
  • Who initiated the cancellation
  • Cancellation timestamp and time remaining before the event
  • Cancellation reason
  • Cancellation-policy version
  • Total booking value, amount paid, Talent/service amount and ZaZang fee
  • Refund amount and amount retained
  • Payment/refund transaction IDs
  • Administrative adjustment, if any

35. How cancellation outcomes are decided

ZaZang looks at:

  1. Who cancelled: Client, Talent or ZaZang administrative action.
  2. When: before the rate was confirmed, during the cancellation window, or after it closed.
  3. Why: standard, emergency, weather, safety, no-show or other.
  4. What was paid: nothing, fees only, the retainer, or the full amount.
  5. Which policy version applies.

Cancellations before the rate is confirmed and during the window are handled automatically with nothing charged. Cancellations after the window are reviewed by ZaZang staff, the outcome is recorded, and both parties are notified.

36. Summary of current booking rules

  1. Standard retainer: 50% of the agreed rate, invoiced after both parties sign the contract.
  2. Final payment deadline: 48 hours before the event.
  3. Free cancellation: before the rate is confirmed, and by either party during the 48-hour cancellation window. Nothing is charged.
  4. After the cancellation window: no self-serve cancellation; cancellations and refunds go through ZaZang support and are reviewed by staff case by case. There are no fixed refund percentages or tiers.
  5. ZaZang booking fee: not refunded after the window, except where ZaZang staff decide otherwise, for example when the performer caused the failure.
  6. Talent cancellation: the Client should receive a refund of amounts collected for services that will not be performed; staff may also return the Client’s booking fee.
  7. Client no-show: reviewed by ZaZang staff case by case.
  8. Talent no-show: reported through Report a problem; if ZaZang determines the services were not provided, the Client should receive the applicable refund for undelivered services.

  11. Payout release: when the Client confirms completion, or 24 hours after the event ends, unless a problem report or payment dispute holds it.

37. Core principle

ZaZang's Booking & Cancellation Policy should create predictable outcomes for both sides of the marketplace.

  • Before Booking: both parties know the terms.
  • After Booking: both parties know their commitments.
  • If Plans Change: both parties know the consequences.
  • If Something Goes Wrong: ZaZang has the transaction record necessary to determine what occurred.

The goal is not simply to create a cancellation policy. The goal is to create a trust framework for the ZaZang marketplace.
